Contract Executive- Operations & Administration

  • Approximately 6 months (expiry on 31 December 2018)
  • Boon Lay (Tertiary Institution)
  • Mon to Thurs: 8.30am – 5.45pm, Fri: 8.30am – 5.15pm
  • $3,000 to $3,500

Job Responsibilities:

  • Student Enrolment
    • Assist in Student Pass application for new students.
    • Liaise with Office of Admissions to facilitate the printing of matriculation cards for new students.
  • Student Records
    • Update and maintain student records to ensure accuracy of student database.
  • Programme Management
    • Class Scheduling
      • Assist in the planning of timetable by liaising with respective Programme Directors and course instructors.
      • Book venues for teaching activities.
      • Course Registration
        • Assist in the registration of courses taken by students for each term in accordance to the timeline given.
      • Course materials
        • Procurement of course materials (including textbooks, course packs etc) required for the respective courses.
      • Faculty Appointment
        • Obtain Dean’s approval for the appointment of the faculty members as course instructors before the start of every term.
        • Prepare Teaching Appointment letters for the appointed faculty members.
      • Examination
        • Liaise with course instructors on their requirements for the preparation of exam papers and to finalize the exam dates.
        • Format exam papers for printing in a timely manner.
        • Provide logistic support for the exam process which includes booking of venues, requisition of answer booklets, etc.
        • Provide onsite support at the exam venue to ensure smooth execution of exams.
        • Liaise with course instructors on submission of mark lists for marks entry. 
        • Liaise with Office of Academic Services on submission of exam marks.
        • Process appeals for review of exam results if any.
  • Faculty support
    • Prepare class lists, group lists and attendance lists for course instructors.
    • Assist course instructors in the creation course sites, printing of lecture notes, uploading of course packs, etc.
    • Procurement of stationary required by course instructors.
    • Loan of microphone and wireless presenter to be used during classes.
    • Provide classroom support when necessary.
  • Teaching Evaluation
    • Work with IT to prepare online Teaching Evaluation forms and to ensure that the evaluations are completed by students before the start of their exams.
    • Tabulate teaching evaluation results for China Programme Office’s reference and to send the results to the course instructors after receiving their mark lists.
    • Prepare survey for “Teacher of the Year" Award to be sent for student voting.
    • Procurement of “Teacher of the Year" Award plaque.
  • Accreditation and Academic Review
    • Work with the Accreditation Office on China Programmes’ accreditation review.
    • Provide support for China Programme curriculum review.
  • Student matters
    • Handle student enquiries via email/WeChat and ensure that enquiries are attended in a timely manner.
    • Handle requests pertaining to leave of absence, withdrawals, deferment, extension of candidature etc.
    • Build good rapport with students.
    • Liaise with career office for student internships and job placement.
  • Finance matters
    • Arrange payment to course instructors after receiving their mark lists.
    • Arrange payment to invited speakers after the end of each seminar.
    • Assist with the planning and budgeting of the China Programme Office’s expenses.


  • Event Management
    • Assist in the planning and execution of student orientation, convocation and student activities such as seminars, workshops, farewell dinners, study trips etc.
  • Statistics
    • Assist in the collation of statistics and data required for different surveys and reports.
  • Others
    • Maintain repository of course outlines and course materials.
    • Prepare Dean’s list and Book Prize certificates.
    • Any other ad-hoc duties or special projects assigned by the Senior Assistant Manager.   
  • To ensure the smooth running of the operations of the China Programmes.
  • To provide assistance and support to students and course instructors in a timely manner.
  • To ensure that events and special projects assigned are completed on time with desired results.
  • To update and maintain information within the China Programmes’ shared folders so that information are up-to-date and easily accessible.

Period:

  • Approximately 6 months (expiry on 31 December 2018)

Salary:

  • $3,000 to $3,500

Working Hours:

  • Mon to Thurs: 8.30am – 5.45pm, Fri: 8.30am – 5.15pm

Location:

  • Boon Lay (Tertiary Institution)

Job requirements:

  • A degree holder, preferably with relevant work experience of 4 to 6 years.
  • Proficient in Microsoft Office applications, especially Word and Excel.
  • Meticulous with a keen eye for details and a good team player.
  • Quality and customer-service oriented.
  • Good interpersonal communication and organizational skills.
  • Able to multi-task and work under tight deadlines.
  • Self-motivated with ability to work independently.
  • Willingness to learn and take on challenges.
  • Effectively bilingual (reading, writing, and speaking) to liaise with different associates
  • Willing to travel overseas (5-10%).
